Operations, Quality Assurance Specialist

Responsibilities:

1. Verify materials against purchase orders, packing lists, and material specifications
2. Review Material Test Certificates (MTC), Inspection Release Notes (IRN), and compliance documents.
3. Prepare and submit RFI (Request for Inspection) to the EPCM Contractor and client QC team for approval.
4. Ensure RFI approvals before materials are released for storage or issuance.
5. Ensure materials are stored in designated areas (HVAC warehouse, closed storage, open shed, etc.) as per client specifications.
6. Monitor preservation procedures and maintain preservation logs to prevent deterioration.
7. Ensure materials are properly labeled and traceable, linking each item to corresponding MTCs and vendor documents
8. Maintain accurate records of RFIs, MRIRs (Material Receiving Inspection Reports), and OSD (Overage, Shortage & Damage) reports
9. Upload and manage inspection documents in the designated material management system (e.g., SPMMS or client’s system).
10. Raise an RFI for material issuance inspections, coordinate with client's inspectors, and obtain approval before dispatch.
11. Ensure proper documentation (Material Issuance Reports, Release Notes, and Inspection Approval) before materials leave the warehouse.
12. Follow client’s engineering specifications, project quality plan (PQP), and international standards like ISO 9001.
13. Conduct inspections as per Material Receiving Inspection Procedure and client's QA/QC guidelines.
14. Coordinate RFIs with EPCM Contractor, client's QC team, and Implementation Contractors.
15. Maintain an updated RFI log, track inspection status, and ensure timely approvals.
16. Performing any other related duties / projects assigned by the direct supervisor from time to time to meet the business exigencies.

Qualifications & Characteristics:

Education – Diploma in Mechanical Engineering

Work Experience –  Minimum 2-4 years of experience in material inspection, QA/QC, warehouse quality control, or materials coordination within oil & gas, EPCM projects.
