Project Specialist, Customer Service, SAIPEM
Job Responsibilities
1. Pricing & Cost Estimation
- Prepare detailed cost estimates, quotations, and rate cards for MHE operations, offshore logistics, and specialized service tenders.
- Develop comprehensive pricing models that include direct and indirect cost elements (equipment, manpower, fuel, permits, insurance, transfers, demobilization, standby).
- Analyze historical project data to benchmark rates and optimize pricing accuracy.
- Conduct profitability and sensitivity analysis to maintain competitive yet sustainable margins.
- Support pricing for new service areas such as drone inspections, cargo delivery, and offshore logistics integration.
2. Tender Preparation & Review
- Manage the end-to-end tender process — from document review, pricing strategy, and clarification requests to final submission.
- Review invitation to tender (ITT), scope of work, BOQs, and bid instructions to identify commercial, technical, and legal risks.
- Coordinate with internal departments (Operations, Finance, Procurement, Legal) to verify cost inputs and ensure bid accuracy.
- Prepare commercial bid proposals, ensuring alignment with both internal policies and Client requirements.
- Develop and maintain tender trackers and bid summary reports to monitor submission progress and outcomes.
3. Terms & Conditions (T&Cs) Drafting and Deviation Management
- Review client-issued contracts, work orders, and LOAs to identify unfavorable clauses or risk exposures.
- Draft or propose commercial terms and conditions for company-issued proposals, quotations, and agreements.
- Prepare deviation lists highlighting exceptions to payment terms, liability, liquidated damages, demurrage, insurance, and other key risk areas.
- Liaise with Legal and Management to negotiate contractual adjustments before acceptance.
- Ensure final T&Cs protect the company from hidden costs, scope creep, and operational liabilities.
- Maintain a contract clause library for standardized use in tenders and subcontracts.
4. Contract & Cost Control
- Monitor project costs against approved pricing to ensure budget adherence and profitability.
- Verify change orders, variations, and standby claims for compliance with agreed terms and documentation.
- Support invoicing by validating cost breakdowns and ensuring recoverable items (standby, demobilization, permit fees) are captured.
- Maintain a structured pricing database for recurring services and equipment categories.
- Contribute to contract negotiations, price reviews, and escalation calculations.
5. Offshore & MHE Project Support
- Coordinate with project teams to confirm equipment deployment plans, manpower rotations, and logistics requirements.
- Capture and cost all operational dependencies e.g., Food accomodation, transportation, equipment Hire.
- Liaise with subcontractors and service providers to collect and evaluate their commercial offers.
- Provide commercial and pricing support to project managers during mobilization and execution phases.
6. Reporting & Analysis
- Prepare pricing performance reports, bid evaluation summaries, and cost-versus-actual variance analyses.
- Track success ratios, pricing deviations, and tender response timelines to improve efficiency.
- Generate monthly dashboards for management highlighting opportunities, wins, and risk exposure.
- Research market trends and competitor pricing in MHE and offshore logistics.
Key Skills & Competencies
- Strong expertise in tender review, pricing strategy, and cost estimation.
- Proficiency in contract and T&C drafting, risk identification, and deviation preparation.
- High proficiency in MS Excel (advanced formulas, pivot tables) and cost-tracking tools.
- Strong analytical and commercial reasoning with attention to detail.
- Effective communicator across cross-functional and client-facing environments.
Qualifications & Experience
- Bachelor’s Degree in Engineering, Business Administration, or Supply Chain Management.
- 3–5 years of experience in pricing, tendering, or commercial management within oil & gas, EPC, or offshore logistics.
- Experience in Material Handling Equipment (MHE), offshore marine support, or defense logistics preferred.
- Working knowledge of contract law and commercial risk assessment
