General Responsibilities:

Responsible for office administrative affair

Detailed Responsibilities‌

  • Purchase stationery, copy paper, toilet paper, cleaning supplies, and bills of lading.
  • Order purified water and office clothing as needed.
  • Arrange party food, festival decorations, invitations, and staff benefits. 
  • Organize annual dinners, outings, and committee-building activities.
  • Coordinate with vendors for gifts, vehicle booking, and seat reservations.
  • Coordinate with property management for office emergencies and building requirements.
  • Send announcements via company WeChat and maintain WeChat groups.
  • Collaborate with functional teams under SZX office for holiday notices, calendars, brochures, and gift ordering
  • Monitor and renew business licenses with government departments.
  • Update information in freight forwarders associations annually.
  • Update Crisis Management plans (Business Continuity Plan & Emergency Response Plan).
  • Update safety management systems quarterly per government requirements.
  • Supervise office hygiene and garbage classification compliance.
  • Conduct office security checks and fire inspections.
  • Source favorable rates for hotels and travel agents.
  • Allocate tasks within the admin department.

  • Internal –all office staffs
  • External – property management /agent

Education & Working Experience

  • College degree or above, major in Administration is preferred     
  • Honest, reliable and responsible. positive attitude under high pressure, problem solver

Skills & Knowledge

  • Good written and reading in English
  • Proficient in official documents   
  • Skillful of PC & Internet, PPT, Excel, Word
