• Preparing Shipping Documents: Verify all necessary shipping documents, including bills of lading, commercial invoices, packing lists, and all shipment related documents.
• Coordinating with Shipping Lines and Airlines: Ensure proper documentation is provided to carriers, freight forwarders, and CFS to facilitate smooth transportation and timely shipments.
• Customs Documentation: Co-ordinate with inhouse brokerage team & customer’s brokerage ( CHA ) in regards to timely BOE ( Bill Of Entry ) Filling & sharing necessary information.
• Monitoring Shipments: Track and update shipment status in system ( CW1 ) & share the information with internal & external stakeholder throughout the transport process.
• Handling Customer Inquiries: Respond to customer inquiries related to shipment documentation, providing accurate and timely information on the status and location of goods.
• Ensuring Document Compliance: Ensure that all documentation adheres to legal, regulatory, and company standards, including import laws and customs regulations.
• Document Filing and Record Keeping: Maintain accurate and organized files for all documentation, both digital and physical, for easy retrieval during audits or future reference.
• Issuing Delivery Orders: Prepare and issue delivery orders to consignees or agents for the release of cargo upon arrival at the destination port.
• Handling Discrepancies: Address and resolve any discrepancies in shipment documentation, such as missing or incorrect information, by liaising with relevant parties to correct the issue.
• Liaising with Internal Departments: Collaborate with operations, customer service, and sales teams to ensure that all required documentation is available and complete for shipments.
