To manage and process all shipping-related documents, ensuring accuracy and compliance with international regulations. Preparing essential documentation such as bills of lading, invoices, and customs papers to facilitate smooth import and export operations. Coordinating with various stakeholders, including customers, shipping lines, and customs authorities, to ensure timely and efficient documentation for shipments. Maintaining organized records and resolving any documentation discrepancies to prevent delays.
Key Tasks
- Preparing Shipping Documents: Draft, prepare, and verify all necessary shipping documents, including bills of lading, commercial invoices, packing lists, and certificates of origin.
- Coordinating with Shipping Lines and Airlines: Ensure proper documentation is provided to carriers, freight forwarders, to facilitate smooth transportation and timely shipments.
- Monitoring Shipments: Track and update shipment status, ensuring that documentation is updated and accurate throughout the transport process.
- Handling Customer Inquiries: Respond to customer inquiries related to shipment documentation, providing accurate and timely information on the status and location of goods.
- Ensuring Document Compliance: Ensure that all documentation adheres to legal, regulatory, and company standards, including expor laws and customs regulations.
- Document Filing and Record Keeping: Maintain accurate and organized files for all documentation, both digital and physical, for easy retrieval during audits or future reference.
- Issuing Bill Of Lading : Prepare and issue Bill Of Lading to Customer basis Shipped on Board confirmation received from carrier & against agreed payment term.
- Handling Discrepancies: Address and resolve any discrepancies in shipment documentation, such as missing or incorrect information, by liaising with relevant parties to correct the issue.
- Liaising with Internal Departments: Collaborate with operations, customer service, and sales teams to ensure that all required documentation is available and complete for shipments.
- Updating Freight Systems: Ensure that all shipment details, including documentation, are accurately entered into the organization’s freight management system.
Educational background / Work experience
- Bachelor's degree in Logistics/ Business Administration/ or freight forwarding apprenticeship
- A minimum of 3 - 4 years of relevant industry work experience
Language Skills
- Fluent in English (written and spoken)
- Other languages (written and spoken) preferred
Computer Literacy
- Good knowledge of Microsoft® Office Software (Excel®, Word, PowerPoint® and others)
- SAP®
