Job Description: System Administrator – Coupa Software

Position Summary

We are seeking a detail-oriented and proactive System Administrator specializing in Coupa software to support, maintain, and optimize our procurement and expense management platform. The successful candidate will be responsible for ensuring the stability, security, and performance of Coupa, managing integrations with other enterprise systems, and providing functional and technical support to business users. This role requires strong problem-solving skills, a solid understanding of procurement/P2P processes, and the ability to collaborate with cross-functional teams including Finance, IT, Procurement, and external vendors.


Key Responsibilities

  • System Administration & Configuration
    • Maintain and configure Coupa modules (Procure-to-Pay, Expenses, Invoicing, Supplier Management, etc.) to align with business requirements.
    • Manage user access, security roles, and permissions in compliance with internal controls and audit standards.
    • Monitor system performance, schedule jobs, and troubleshoot issues to minimize downtime.
  • Integration & Data Management
    • Support and maintain integrations between Coupa and ERP systems (e.g., SAP, Oracle, S/4HANA) and other third-party applications.
    • Ensure data accuracy, reconciliation, and timely updates across connected systems.
    • Work with IT teams to implement API, SFTP, or middleware integrations.
  • Support & Troubleshooting
    • Serve as primary point of contact for Coupa system incidents, escalations, and vendor tickets.
    • Provide Tier-2/Tier-3 support for end users, including issue resolution, process guidance, and system navigation.
    • Manage system upgrades, patches, and new release testing with minimal business disruption.
  • Process & Continuous Improvement
    • Partner with Procurement and Finance teams to streamline P2P workflows and enforce compliance with company policies.
    • Identify opportunities for automation and process improvement within Coupa.
    • Document system processes, configurations, and standard operating procedures.
  • Governance & Compliance
    • Support audits and ensure adherence to SOX, GDPR, and internal IT security policies.
    • Manage approvals, workflow controls, and compliance settings.
    • Maintain proper segregation of duties within the Coupa environment.

Qualifications

  • Bachelor’s degree in Information Systems, Computer Science, Finance, or related field (or equivalent experience).
  • 3–5 years of experience as a System Administrator or Application Support Specialist, with at least 2 years working with Coupa.
  • Strong understanding of procurement, AP, expense management, and supplier onboarding processes.
  • Hands-on experience with ERP systems and integrations (SAP preferred).
  • Knowledge of system security, SSO, SAML, and role-based access controls.
  • Experience with SQL, reporting tools, or middleware (Boomi, MuleSoft, etc.) a plus.
  • Excellent communication and collaboration skills with ability to work across IT and business teams.
  • Strong analytical, problem-solving, and organizational skills.

Preferred Skills

  • Coupa certification(s) in one or more modules.
  • Prior experience with Coupa implementation or rollout.
  • Familiarity with ITIL framework and ServiceNow or other ticketing systems.
  • Exposure to Ariba, Coupa Pay, or Services Maestro is a plus.
