Project Administration
• Maintain complete and up-to-date project files, shipment records, and client
documentation
• Create and update jobs in the F&E system and ensure milestones are accurately
maintained
• Support the project team in tracking timelines, deliverables, and key activities
• Coordinate internal communications between Operations, Warehouse, Transport, and
Finance
• Arrange meetings, prepare minutes, and monitor follow-up actions
Documentation Control
• Ensure accurate creation and maintenance of job files within the F&E system
• Prepare and verify shipping documents, permits, carnets, and customs documentation
(where required)
• Ensure full compliance with company SOPs and event-specific procedures
• Maintain proper digital and physical filing with version control
• Track document submission deadlines for time-critical shipments
Billing & Financial Coordination
• Perform job costing and ensure all buy/sell rates are correctly captured in the system
• Prepare draft invoices with complete supporting documentation
• Ensure timely and accurate billing in line with agreed timelines
• Monitor supplier invoices and ensure correct cost allocation to each project
• Support GP monitoring by identifying missing costs and revenue leakage
• Liaise with Finance on AR/AP matters, accruals, and cost recognition
Vendor & Purchase Coordination
• Raise purchase orders and validate vendor charges against approved quotations
• Maintain updated records of rate sheets and approved vendors
• Track payment status and resolve billing discrepancies in a timely manner
Client & Stakeholder Support
• Provide administrative support for client reports and shipment status updates
• Assist in the preparation of quotations and final project reports
• Ensure all client billing documentation is complete and accurate
Post-Event Close-Out
• Ensure all costs and revenues are fully captured prior to job closure
• Support financial reconciliation and profitability reporting
• Archive project documentation in accordance with audit and compliance requirements
