Additional Computer Skills

  • Highly effective working knowledge of Warehouse Management Systems and ERP
  • Highly proficient in Excel/Powepoint for data management and reporting
  • Cargowrite or Red Prairy knowledge will be a huge advantage

 

Job-related Requirements

Minimum of 7 years’ experience in Warehousing:

  • Experience in Supply chain and logistics;
  • Operations: Extensive knowledge and hands on skill related to Inbound, Stock Management, Outbound / Order Fulfilment, Return processes and effective Packaging;
  • Stock Management includes: Audits (perpetual and wall to wall), SKU Master maintenance, SKU Consolidation, Slotting (based on ABC analysis, volumetric and product categorization), Space Utilization & Density Measurement, Pick-face Replenishment Strategies and daily DSV system to Client system variance measurement, investigation and alignment;
  • Problem Solving: Effective Root Cause Analysis, Problem Solving and implementation of Corrective and Preventative Measures;
  • Management: Must be able to do all managerial functions (Planning, Organizing, Leading, Controlling, Monitoring) independently, effectively and reliably;
    • Communication: Must communicate effectively (written and verbal) to manage and meet both internal and external customer expectations;
    • Compliance: Must ensure full site compliance, including the following: DSV Policies, Regulations, Work Instructions, Maintenance Schedule and Local Authority requirements;
    • Stress and Conflict Management: Must have effective techniques and/or skills to manage conflict, cope with stress and work effectively under constant pressure;
    • Quality Management and CIP: Knowledge and experience of QMS such as ISO 9001, 14001, 18001, as well as Continuous Improvement Processes and Risk Management;
    • Commercial: Must have effective commercial acumen and experience to manage Client and Supplier Contracts, SLA’s and Risk;
    • Daily management of Adidas Onsite DC Operations team with the ability to manage expectations.
    • Financial: Must have effective financial acumen to develop budget, ensure tight cost control (incl. all facets of procurement) and ensure consistent on time revenue collection to meet or exceed budget;
    • Ensure monthly Billing is prepared for Finance according to Billing processes and Rate cards
    • HR and IR: Must be able to effectively lead, train, develop, performance measure and performance manage all subordinates to ensure high morale, productivity and retention. This includes advanced knowledge of Industrial Relations and Processes;
    • Ability to work extended hour’s and over weekends when required
    • Own vehicle and driver’s license

    • Previous experience with Adidas South Africa Business operations will be highly advantage

    MAIN PURPOSE OF THE ROLE 

    Manage all aspects of contract logistics operation to ensure:

    • Budget revenue and profitability is consistently met or exceeded
    • Contractual obligations and SLA/s consistently achieved
    • Credibility and trust relationship developed and maintained with client/s resulting in long term client satisfaction and retention
    • Skilled, motivated and productive staff with low staff turnover
    • All aspects of compliance, including HSE and QMS managed and compliant at all times

     

    DUTIES & RESPONSIBILITIES

    ESSENTIAL DUTIES AND RESPONSIBILITIES

    • Financial: Consistently achieve or exceed revenue and EBIT approved budget
    • Financial: Must have effective financial acumen to develop budget, ensure tight cost control (incl. all facets of procurement) and ensure consistent on time revenue collection to meet or exceed budget
    • System: Ensure daily system to system stock on hand recon and alignment between DSV and client systems, and immediate investigation and CAPA for any variances
    • System: Ensure that all key WMS transactions / processes are maintained and that your operation/s achieve at least a 90% score in weekly WMS Health Check Reporting. This includes not allowing WMS Suspense to have any SKU’s older than five working days
    • Cost Management: Ensure all costs are minimised, controlled and fully recovered where possible via accurate and on time invoices
    • Revenue: Ensure all revenue is received on time and in full, with remittance supplied
    • SLA and KPI: Maintain operational performance and contractual compliance to consistently achieve agreed SLA & KPI’s and avoid any claims for losses and damages
    • Credit Notes: Avoid these by ensuring proactive, accurate and complete invoicing with high quality supporting documentation aligned to contractually agreed billing methodology and rates Job Title
    • Stock Integrity: Ensure stock management processes are carried out and objectives are met on a daily basis
    • Client: Ensure MS Sales Dynamics is kept up to date with the following:
      • Copy of monthly performance reports shared with client, including SLA / KPI achievement
      • Copy of monthly minutes of client meeting/s, including opportunities, issues / concerns and resolution
      • Copy of Quarterly Business Review (QBR) with client
      • Copy of annual increase decisions and communication
      • Copy of renewal negotiations and communication
    • Communication – Client: Maintain frequent and effective communication and expectation management with client. This includes at least:
    • Monthly meeting with each client wherein KPI / SLA performance, opportunities and concerns are discussed and minuted for resolution
    • Communication – Staff: Ensure regular documented two-way communication sessions with staff, including:
      • Weekly minuted ops meeting discussing operational priorities and challenges;
      • Monthly minuted ops meeting discussing financial performance, achievement of business objectives and client satisfaction;
      • Annual minuted Management Review using QMS framework and aligned to annual business objectives
    • Reporting: Maintain internal and external reporting of high-quality content and format. This includes but is not limited to:
      • Daily SKF report reflecting accurate inbound and outbound orderliness processed;
      • Daily system to system variance and corrective action reporting;
      • Daily Job Clocking and Resource Planning Tool;
      • Weekly cycle count results and corrective action reporting;
      • Weekly WMS Health Check (min 90% score);
      • Bi-Annual Ops Assessment self-audit;
      • Monthly KPI / SLA reporting;
    • CIP: Identify, drive and implement ongoing improvements in support of productivity & cost savings
    • Effectively manage the operation in terms of financial performance, operational process adherence, HSE / Legal compliance (health, safety & environment), GDP compliance, constant audit readiness and compliant on time incident reporting
    • Maintenance: Proactively maintain all facility, equipment and systems to ensure business continuity and compliance
    • Training and Development: Effectively performance manage and lead your human assets to ensure they are trained, developed, productive and have high morale, with full adherence to BCEA, LRA and DSV code of conduct. Maintain training matrix to support multi-skilling of all resource
    • Succession Planning: Ensure effective succession planning in place right down to team leader level
    • Maintain and drive culture of Ops Excellence with ongoing OTP, SPQRCE and 5s in Workplace
    • Recognition: Maintain a staff recognition program with monthly feedback
    • Ensure all people on your site (clients, staff, contractors, visitors etc.) fully adhere at all times to OHSA, good safety practice and Site Rules to safeguard their health, DSV and client property, and prevent resultant claims
    • Productivity: Maintain staff productivity
    • Subordinates:
      • Roles and Responsibilities: Ensure that your subordinates have clear job descriptions in place indicating their detailed roles and responsibilities;
      • Performance Management: Ensure that all key subordinate deliverables are performance measured and managed;
      • Leadership and motivation: Ensure that you are fair and consistent with your staff, lead by example and keep them well informed of company objectives and relevant news;
      • Training and Development: Ensure that your subordinates are multi-skilled in their roles and receive relevant internal and external training;
    • Commercial: Must have effective commercial acumen and experience to fully understand and manage Client and Supplier Contracts, SLA’s and Risk. This includes:
      • Stock accuracy SLA;
      • Tolerance for unexplained losses and damages;
      • Frequency of cycle counting and wall to wall stock takes;
      • Liability per incident and per annum cap;
    • IR: Proficient in consistent application of appropriate Industrial Relations Policies and Processes
    • Operations: Extensive knowledge and hands on skill related to Inbound, Stock Management, Outbound /
      • Order Fulfilment, Return processes and effective Packaging
