Team Lead, Administration

DSV are recruiting for a Team Lead, Administration at our Stoke on Trent location.
As an Administrative Team Lead, you will be responsible for managing and supporting the day-to-day activities of the administration team. You will ensure that all administrative functions, including data management, reporting, invoicing, and customer communication, are completed accurately and efficiently. This role requires strong leadership, organisational skills, and attention to detail to maintain service excellence and support operational success. You will act as the key link between the administration team, operational departments, and customers, driving performance, compliance, and continuous improvement.
Key Responsibilities
- Team Leadership: Lead, support, and develop the administration team; manage workloads, set priorities, and ensure tasks are completed accurately and on time.
- Customer Communication: Act as first point of contact for customer queries; ensure professional and timely responses to maintain high customer satisfaction.
- KPI & Performance Monitoring: Track and monitor administrative KPIs; drive improvements where needed to achieve targets.
- Data Management & Reporting: Oversee data entry, reporting, and record keeping ensuring accuracy and compliance with company standards.
- Invoicing & Financial Support: Ensure all invoicing, purchase orders, and financial administration are completed on time and accurately.
- Compliance & Audit Support: Maintain compliance with company policies, GDPR, and legal requirements; support internal and external audits.
- Process Improvement: Identify inefficiencies in administrative processes and implement improvements to increase productivity and accuracy.
- Training & Development: Provide training and ongoing support to team members; ensure skills and knowledge are kept up to date.
- Cross-Department Collaboration: Work closely with warehouse, transport, and customer service teams to support smooth end-to-end operations.
- Problem Solving: Proactively address and resolve issues raised by customers, suppliers, or internal teams.
- Resource Planning: Allocate resources effectively to meet business and customer requirements, including covering absences and peak workloads.
- Health & Safety / Wellbeing: Promote a positive workplace culture, supporting team engagement, wellbeing, and safe working practices.
Skills & Competencies
- Proven experience in an administrative or coordination role, ideally within logistics or supply chain.
- Strong leadership and people management skills.
- Excellent organisational and time management abilities.
- Strong communication skills (written and verbal) with the ability to liaise confidently with customers and colleagues at all levels.
- High attention to detail and accuracy in all tasks.
- Proficient in Microsoft Office (Excel, Word, Outlook) and comfortable with ERP/WMS systems.
- Ability to work under pressure and meet deadlines.
- Problem-solving mindset with focus on continuous improvement.

- 100% accuracy in data entry, reporting, and invoicing.
- Timely completion of invoicing and financial tasks in line with customer and company deadlines.
- High customer satisfaction through effective and professional communication.
- Achievement of administrative KPIs (e.g. processing speed, query resolution times, error rates).
- Well-trained, engaged, and motivated administration team with clear development plans.
- Effective cross-department collaboration ensuring smooth operational flow.
- Compliance with internal policies, GDPR, and audit requirements.
