Summary

The Administrative Specialist, Talent Acquisition Support plays a critical role in supporting the operational effectiveness of the Talent Acquisition (TA) function. This position provides administrative and coordination support to recruiters, manages staffing agency agreements, supports compliance tracking, and ensures the accuracy and integrity of recruitment data and documentation. The role partners closely with recruiters, P&O (HR), and business stakeholders to deliver a seamless and efficient hiring process.

 

Duties & Responsibilities

  • Provide day-to-day administrative support to the Talent Acquisition team across multiple divisions (Road, Air & Sea, Contract Logistics).
  • Coordinate interview scheduling, candidate communications, onboarding activities, and offer documentation.
  • Support requisition creation and posting within the Applicant Tracking System (ATS), ensuring accuracy and compliance with internal policies.
  • Maintain and update Talent Acquisition dashboards, reports, and trackers (e.g., open requisitions, agency usage, cost-per-hire, time-to-fill).
  • Prepare and distribute regular TA reports for leadership and HR stakeholders.
  • Manage staffing agency and vendor agreements, including documentation, approvals, renewals, and compliance tracking.
  • Maintain a centralized database of staffing agencies, including contacts, fee structures, and contract expiration dates.
  • Serve as a point of contact for internal stakeholders regarding agency processes, documentation, and status updates.
  • Assist with coordination of recruiting events, including career fairs and hiring initiatives, as needed.
  • Maintain recruitment records in compliance with company standards and applicable employment laws.
  • Conduct audits of TA files and system records to ensure data integrity and accuracy.
  • Identify and support process improvements to enhance efficiency and consistency within TA operations.
  • Maintain strict confidentiality of sensitive employee, candidate, and vendor information.
  • Additional duties and projects as assigned.

 

Education & Experience

  • Associate or Bachelor’s degree in Human Resources, Business Administration, or a related field preferred; equivalent experience will be considered.
  • Minimum of 1 year of experience in HR, recruiting, procurement, or administrative support required.
  • Experience in a logistics, transportation, or supply chain environment preferred.

 

Skills & Competencies

  • Strong organizational skills with a high level of attention to detail.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Effective written and verbal communication skills.
  • Strong analytical and reporting capabilities.
  • Proficiency in Microsoft Office Suite, particularly Excel (reporting, tracking, and data management), Word, PowerPoint, and Outlook.
  • Experience working with Applicant Tracking Systems (ATS) and HR systems preferred.
  • High level of professionalism, discretion, and ability to handle confidential information.
  • Strong customer service orientation and collaborative mindset.
  • Effective problem-solving skills with strong follow-through and ownership.

 

Physical Demands

This role is primarily sedentary and performed in an office or remote work environment. The position requires frequent use of a computer, including typing, data entry, and reviewing information on screens for extended periods. The employee may occasionally be required to stand, walk, or move throughout the office to support meetings or recruiting events. Specific vision abilities include close vision and the ability to adjust focus. Work Environment

This position operates in a professional office environment with standard business hours, Monday through Friday. The role may require occasional extended hours based on hiring volume, business needs, or project deadlines. The environment is fast-paced and collaborative, requiring frequent interaction with internal stakeholders, candidates, and external vendors. Occasional support of recruiting events may require light travel or extended periods of standing.

 

For this position, the expected base pay range is $24.00 – $29.00 Hourly. Actual compensation will be determined based on job-related factors such as relevant experience, skills, education, certifications, and geographic location, in accordance with applicable laws and company policy.
