Summary
The Tender Manager Supervisor is responsible for overseeing all phases of the tender from opportunity identification to submission and award notification. The supervisor oversees the internal tender process for new and existing business opportunities to ensure competitive and profitable bids for clients. The successful candidate will develop and implement winning tender strategies, ensure compliance with all requirements, and maximize the company's success in securing new business. This role collaborates with procurement departments and commercial and operational stakeholders to gather relevant data for bid pricing, ensuring accuracy and compliance. The Tender Manager must be detail-oriented, proactive, and capable of managing multiple priorities in a fast-paced environment.
Duties and Responsibilities
- Manage, mentor, and develop tender coordinators
- Evaluate staff performance, provide feedback, and administer work assignments to ensure maximum efficiency.
- Distribute workload among the team and reallocate tasks to meet deadlines.
- Oversee the end-to-end tender process, from identification of opportunities to bid submission.
- Collaborate with sales, operations, marketing, and other departments to gather information and build comprehensive bid proposals.
- Lead meetings with key stakeholders to discuss tender strategies and progress.
- Review and analyze complex tender documentation, including technical specifications, operational provisions, and commercial requirements.
- Coordinate with internal teams to conduct cost and price calculations for competitive and profitable bids.
- Develop and write compelling proposals, ensuring all documentation is accurate, complete, and tailored to client needs.
- Ensure all tender submissions comply with company standards, legal requirements, and client specifications.
- Review contract terms and conditions, assess potential risks, and propose mitigation strategies in coordination with legal teams.
- Maintain accurate records of all tender activities and documentation.
- Monitor and report on tender outcomes, conducting win/loss analysis to identify areas for improvement.
- Develop and improve processes to streamline the tender function.
- Communicate pre- and post-tender pricing submission details with clear guidelines, standards, and exceptions.
- Act as a liaison for resolving pricing issues and escalations, offering solutions and guidance.
- Maintain document control procedures in alignment with department policies.
- Audit and review processes to ensure compliance with pricing recommendations and standards.
- Identify and implement process improvements during both peak and low seasons.
- Coordinate small and large stakeholder groups, making decisive decisions to meet deadlines.
- Resolve conflicts by identifying root causes, implementing action plans, and escalating when necessary.
- Stay informed about interdepartmental updates, meeting minutes, and changes in the industry.
- Maintain well-documented notes and handoffs for team continuity.
Educational background / Work experience
- Bachelor’s degree in Business, Supply Chain, or Logistics, or equivalent work experience is preferred.
- 5–8 years of experience in transportation and logistics, with a focus on tender management and pricing is preferred.
- Proven experience in a supervisory or management position is essential.
- Strong attention to detail and ability to manage multiple projects under tight deadlines.
- Ability to troubleshoot special requirements and provide resolutions outside standard processes.

- Fluent in English (oral and written).
Computer Literacy
- Proficiency in Microsoft Office, particularly Excel.
- Familiarity with communication tools like Sourcify and pricing software.

Physical Demands

For this position, the expected base pay is: $62,000 - $84,000 / Annual. Actual base compensation will be determined based on various factors including job-related knowledge, skills, experience, geographic location and other objective business considerations. This position is eligible for a performance-based bonus program (remove if not eligible).
