At DSV ("we", "us" or "our") we give high priority to confidentiality and data security. This privacy notice (the “Notice”) explains how we process your personal data in connection with myDSV and provides you with information about our processing activities in accordance with applicable data protection laws, including the General Data Protection Regulation. It describes what personal data we collect, how and why we use it, who we share it with, and the rights you have in relation to your personal data.

The Notice applies to all users of myDSV, including individuals acting on their own behalf or on behalf of a company they represent.

We are the data controller and how to contact us

The DSV A/S (DSV) develops and operates the myDSV platform (“the Platform”), a digital self-service solution for customers. When you use the Platform, we process personal data about you.

DSV is acting as a data controller in relation to the processing of your personal data on the Platform.

Scope of Processing

DSV processes personal data in myDSV in accordance with applicable data protection legislation. Processing is limited to what is necessary for the purposes described below.

Purpose of Processing

Personal data is processed for the following purposes:
• Account and platform management. To verify users, manage customer accounts, and provide access to our digital platform and e-services.
• Service delivery and operations. To enable use of our platform, including shipment booking, tracking, quotation creation, collaboration features, and to support operational workflows such as document management, scanning, and label printing.
• Customer support and relationship management. To provide customer support, handle inquiries, manage claims and disputes, and send service-related communications. Where applicable, we may also send marketing communications (e.g. newsletters) and conduct customer satisfaction surveys.
• Security and compliance. To ensure platform and information security, including authentication, access control, traceability, and to prevent, detect, and investigate fraud, misuse, and other unlawful activities.
• Analytics and service improvement. To generate reporting and analytics on platform usage and service performance, and to improve our services and operations.
• Payments. To facilitate payments for services via third-party payment providers.
We may also process personal data for purposes that are compatible with the above, where permitted by applicable law.

Personal Data Processed

When you use myDSV, we process personal data provided by you or the company you represent, as well as data generated through your use of the platform. We collect and process personal data necessary to provide and operate our services and to fulfil our obligations towards you.
In connection with authentication, user access administration, and use of myDSV, we process the following categories of personal data:
a) User and contact information
• Name (first, last name)
• Email (which also functions as the username)
• Phone number
• Country, postal code
• Address
• Preferred language

b) Login and access information
• Authentication credentials (e.g. username and encrypted password).

c) Identification
• Information required to verify identity and link users to customer accounts
• This is managed through DSV’s identity management systems (e.g. SIMS and Keycloak)

d) Logs and security information
• Audit logs documenting login attempts, administrative actions, changes to user details, and access attempts
• Technical data such as timestamps, IP addresses, device identifiers, and session information
• Certain information may be collected through cookies. You can manage your cookie preferences at any time via the cookie settings.

e) Newsletter subscription (if applicable). This data is processed only where you have signed up to receive newsletters.

Legal Basis for Processing

We process your personal data on the following basis:

Contract (Article 6(1)(b)) of the General Data Protection Regulation
We process personal data where necessary to provide access to and operate our myDSV platform. This includes user registration, authentication, and administration of user accounts, as well as enabling you to book shipments, obtain quotes, manage orders, and track deliveries. Such processing is necessary to perform a contract with you or the company you represent, or to take steps at your request prior to entering into a contract.

Legitimate Interests (Article 6(1)(f)) of the General Data Protection Regulation
We process your personal data based on our legitimate interests in providing, operating, and improving our digital platform and e-services. This includes enabling customer support, handling inquiries, managing claims and disputes, including establishing, exercising, or defending legal claims, maintaining efficient business operations, carrying out statistics and analysis, and documenting correspondence.
Where you receive a shipment arranged via our platform or services, we may also process your personal data based on our legitimate interest in ensuring proper delivery in accordance with our agreement with the sender.

Legal Obligation (Article 6(1)(c) of the General Data Protection Regulation
We process your personal data where necessary to comply with legal obligations, including requirements under applicable accounting and bookkeeping legislation to retain relevant records. This includes personal data processed through our digital platform and e-services, such as transaction details, invoices, and related documentation generated when you use the platform to book, manage services. Such processing is necessary to ensure compliance with statutory record-keeping, audit, and reporting obligations.

Consent (Article 6(1)(a))
Where you have signed up for newsletters or other direct marketing communications, we process your personal data based on your consent. You may withdraw your consent at any time.

Retention Periods

We retain personal data only for as long as necessary to fulfil the purposes for which it was collected, including to perform our contracts, comply with applicable global legal and contractual obligations, and pursue legitimate business purposes such as fraud prevention, IT security, and the handling of claims.

As a general rule, personal data is retained for the duration of the contractual relationship (for example, while your account is active) and for a limited period thereafter, in line with applicable legal and operational requirements, where necessary to fulfil contractual obligations, comply with legal requirements, and establish, exercise or defend legal claims. Retention periods may vary depending on applicable local laws.

Certain data, including shipment-related documentation, may be retained for longer where required to comply with legal and regulatory obligations, such as accounting, tax, or transport requirements.

Where personal data is processed based on your consent, it will be retained until you withdraw your consent or until the purpose for which it was collected has been fulfilled, whichever occurs first.

Retention periods are determined based on the nature and sensitivity of the data, the purposes for which it is processed, and applicable legal requirements. We regularly review our retention practices and aim to minimize retention periods where possible.

Sharing and Transferring Your Data

We may share the personal data you provide on myDSV with third parties where necessary to provide the services you or your company have agreed to with DSV, or where required by law. This includes third party providers such as hauliers, carriers, airlines, and shipping lines, as well as business partners and service providers supporting our service delivery and operation of the platform. Where required, personal data may also be shared with public authorities.

Service providers processing personal data on behalf of DSV are required to do so only in accordance with DSV’s instructions and to implement appropriate security measures to protect it.

We may also share your personal data with other DSV entities where necessary to manage your shipments, orders, account, to provide support and fulfil our obligations towards you. As DSV operates globally, personal data may be transferred between DSV entities. All DSV entities are bound by our Binding Corporate Rules (BCRs), which ensure a consistent and high level of data protection across the Group. You can read more about our BCRs here.

If your personal data is transferred outside the EU/EEA, we ensure that it is protected by appropriate safeguards. Transfers within DSV are based on our BCRs, while transfers to other third parties are carried out using EU-approved mechanisms, such as adequacy decisions or the European Commission’s Standard Contractual Clauses (SCCs), where required. You may request further information about such transfers, including the recipients and applicable safeguards, by contacting us using the details provided above.

Your rights

When DSV processes your personal data, you have the following rights:
• You have the right to access the personal data we process about you
• You have the right to object to our collection and further processing of your personal data
• You have the right to rectification and deletion of your personal data, however there are certain statutory exceptions.
• You have the right to ask us to restrict the processing of your personal data
• In certain circumstances, you may also request to receive a copy of your personal data and to transmit the personal data you have provided to us to another data controller (data portability)
• You can withdraw any consents you may have given at any time. We will then delete your personal data unless we may continue the processing on another basis. You can cancel our newsletter by clicking on the link at the bottom of the newsletter

Questions and complaints

If you have any questions regarding the content of this notice or your rights as an individual, you can choose to make use of our DSAR webform to exercise your rights or with any concerns in this regard and we will get back to you in a timely manner.

You may also lodge a complain to the data protection supervisory authority in your country of residence or place of work, or in the country where the DSV entity which is the data controller for the processing you want to complain about is based.
